10 Tips for Great Phone Recordings

Recording a conference call can be tricky, especially if you're planning to re-purpose that recording later as part of a podcast or a multi-media book.  Even although recording a telephone call can never produce the same results as you would get recording a conversation in a studio, it doesn't mean you can't bias the outcome in your favour.  Here are 10 tips that you can use to create great recordings of telephone calls.

1. Make your call from a reliable handset.  Although you can correct many common sound flaws after the recording is made, it's always easiest if the source is a high quality source to begin with. 

  • Avoid cordless handsets.  Cordless handsets often have a noticeable background hum. 
  • Avoid cellular phones.  Cellular phones are susceptible to drop-outs. They also compress the voice of the caller, removing many of the subtler elements of the voice that lead to a natural sound. 
  • Be careful using VoIP products, like Skype.  These can also have unpredictable results sometimes superior to a landline, and sometimes grossly inferior.  Test them beforehand, and make sure that your LAN isn't being used intensively (say, for a large download) while you're in the call.  
  • Use a quality landline telephone, with a headset.  If you're not using a headset, then you will need to ensure that you're speaking directly into the microphone at all times, otherwise the sound may fade out during the conversation.

2. Ask the other participants in the call to use a similar handset.  Even one poor handset on the call can introduce background noise that will become a distraction throughout the call.  For example, one participant with a cheap speaker phone will cause every person who speaks to be echoed and ruin the entire recording.

3. If possible, use a conference calling service that allows you to record the call from the conference bridge, rather than from one of the handsets.  By recording the call from the bridge, you minimize the drop-off in volume that occurs as phone calls traverse multiple networks.  In addition, if you record from the bridge, no additional equipment is required to make the recording. 

4. Many conferencing services allow individuals to mute themselves, and some services allow a moderator to mute everyone and then un-mute people at appropriate times.  Take advantage of this. Mute everyone who isn't speaking, in order to reduce background noise.

5. Use audio processing software to clean up the recordings afterward.  Do not simply publish the raw audio file.  It's easy to improve the audio file with just a few minutes of work.  I recommend using the open source package, Audacity. It's excellent, and the price is right. 

6. "Normalize" your audio files. Normalization means increasing the amplification as far as possible without adding any distortion.  This can make a faint recording audible. 

7. Use "Dynamic range compression".  Dynamic range compression makes all of the speakers appear to be speaking at roughly the same volume, despite the fact that the original recording may have had people speaking at very different volumes.

8. Remove noise. Sophisticated noise removal filters can quickly remove most noise in a file.  If you want perfection, you may have to manually edit the file also, after using the automated noise reduction filters.

9. Truncate silence.  Human beings naturally pause (and sometimes these are lengthy pauses) between speaking thoughts.  These dead spaces can account for 10% or more of a recording's length.  Removing these spaces improves the listenability of the recording, giving it more energy and making it more engaging.  Optionally, you might also consider editing it out the many verbal ticks that find their way into everyday speech — for example "um", "ah", "you know", and "like".

10. Adjust bass. Telephone recordings can have a very flat quality.  Increasing the bass portion of the recording by as little as 6db can add richness and timbre to the recording that simply makes it easier to listen to.

Audacity comes with a "chain action" feature that allows many of these improvements to be automated.  For example, it can automatically normalize, reduce noise, compress the dynamic range and truncate silence by running a single script.

The difference can be quite dramatic, as this example shows (click on the image to enlarge it).  The topline audio track is the raw file, and the bottom line is the file after running Audacity's default telephone conversation "chain action".  Markers 1, 3, and 4 show before and after examples of how normalization and dynamic range compression affect the recording.  At position 2 on the top line you can see an over 2 second stretch of silence, reduced to 200 milliseconds below.  At position 5, you can see that the impact of truncating silence has reduced the original snippet from 12 seconds to 7 seconds.

These two samples are included in the attached recording. The recording was made using iotum's FREE Conference Call service, which is a Facebook application.  You'll hear the top track, followed by a short tone, and then the bottom track.  Notice just how much more lively sounding the recording is, and how much easier it is to understand the person called Mark after the file has been processed. 

With just a little work, the sound quality and appeal of a recorded conversation can be dramatically improved.

Trademarks, brands and Asterisk

The team at Digium had a bit of a rocky ride this week over their latest effort to protect the Asterisk trademark.  They had submitted a list of organizations authorized to use the Asterisk trademark to Google, and asked Google to restrict advertisements using the term Asterisk to those licensees.  It provoked an uproar in the Asterisk community, as the majority of Asterisk advertising suddenly disappeared from Google.  Then the company did a remarkable thing.  A day later they had evaluated the situation, and relaxed their position.  CEO Danny Windham posted a letter to the Digium community admitting the error, followed by an FAQ that answers many of the common questions that people had about this policy.  In short order, the critics backed off and lauded this new move.  

Navigating the waters of trademarks in todays world can be a tricky proposition. Witness Hasbro's ham-handed handling of the Scrabulous situation on Facebook this week.  In the world before social media, trademark infringers would be dealt with summarily. The law is clear on the rights of the trademark holder. When infringers were found, lawyers would send a cease-and-desist letter, and follow up with legal action if necessary.  That was the 1950's world of picket fences, soap jingles, and bee-hive hairdos.  It was the world where a corporations trademarks and brands were synonymous. 

Social media has emerged as a dominant element of virtually all marketing today. Customers and advocates self identify and become part of the brand rather than simply being the recipient of the corporations marketing message. The brand is shaped by those users and effectively become "co-owned" by the customers and the corporation.  That's where the trouble starts, beginning with the tension in the organization between the sales and marketing function (which actively wants to create a social brand) and the legal function (which wants to protect the corporations' trademark which is intellectual property).  In today's world a trademark is a legally recognized piece of intellectual property that represents a brand, but it is not the brand itself.  

Digium's Danny Windham has shown a masterful understanding of this in his actions.  He has acknowledged that while Digium is the Asterisk trademark owner, the Asterisk brand is larger than Digium.  That brand was the creation of Digium, but it is now shared by the community of users and Digium together.   Moreover, while Digium's actions appeared high handed to many, Windham goes on to explain that protecting that trademark is good for everyone in the community, not just Digium. 

On the part of Digium and the Asterisk community and ecosystem, there’s value in ensuring that the trademarked terms are used in a legal, consistent, and ethical fashion. While it is important for Digium to protect its trademarks, we now better understand just how significant an impact changes in this area can have and just how important it is for any proposed changes to be judiciously derived and methodically implemented.

In relaxing the trademark usage rules and explaining the value of a consistent trademark to the Asterisk community, Danny has demonstrated respect and leadership, and a real understanding of the role that Digium has as steward of the Asterisk brand.
